In the same way we add and edit inventory items, we can add and edit Ecommerce items from the Ecommerce Inventory landing page.
On pressing ‘Add New Item’, a QR code is scanned and the form should be populated with details of the new ecommerce item.
Up to 6 images can also be captured against an ecommerce item.
Some of the fields are mandatory such as the Category, Item, Condition and Online Price.
This is also true when editing the ecommerce item.
Should you wish to add another item to save you going back to the main menu, use the ADD ANOTHER ITEM button to scan another QR code and populate the the form adding images if required.
Ecommerce items with a REVIEW status cannot be added to Ecommerce stock transfers.
When ‘Lookup Barcode’’ is selected the user scans a previously assigned QR code label.
Where a match is found the details of the item linked to the QR code are displayed, with the option to amend the Category, Item description and the price.
Should your organisation use TAGS, these can be added/amended here.
Additional information displayed includes;
Created: Date the item was added
STATUS: Available or Sold
Tags: if already assigned to the item
Up to 6 images can also be captured against an ecommerce item and the ecommerce details can be updated also.
Once added or updated, ecommerce items are ‘tagged’ with a REVIEW status and the review activity is managed via the Charity Suite portal.
Once ecommerce items have been reviewed and their status updated to ACCEPTED, ecommerce items can be added to ecommerce stock transfers.
On entering the Ecommerce Transfer page, users are presented with a list of the current transfers.
The status filter at the top of the page can be used to limit the results offered.
The button at the bottom of the page is used to create an ecommerce transfer of which there are 2 types; either internal or department.
Internal Transfer
The source location is not editable and is the location the device is currently logged in to, with the list of destination locations being valid locations you are able to transfer to. Add any relevant notes as necessary and save to create the internal transfer before adding items to it.
You are now able to add the items to the internal transfer either by scanning them with the Bluetooth scanner or by manually typing in the QR code to look them up.
Should it be necessary to edit the internal transfer details, you can do so at this draft stage via the pencil icon to the right of the NOTES field. These details can only be edited whilst the transfer is in DRAFT status.
Internal transfers go through the following status updates :
Draft → Pending → Dispatched → Received
If any items cannot be added to the transfer, helpful error messages assist in the process.
There will be a ‘review’ process within your organisation/location, to get the items ready for transfer. This activity is managed via the Charity Suite portal and the ecommerce items are ‘tagged’ as being ready for transfer and no longer in ‘REVIEW’ status. Once items are no longer in review status they can be added to transfers.
The item count and transfer value will increase automatically as items are added to the transfer.
Draft → Pending → Dispatched → Received
Once all your items are added to the ecommerce transfer, pressing the CONTINUE button will allow you to move the transfer from DRAFT status to PENDING status and no further amendments to quantities can be made or items added/removed and the transfer is ready for dispatch.

The next stage is to move the status from PENDING to DISPATCHED when the stock is in transit to the destination location and stock quantities are deducted from the source location. On submitting for dispatch, a dispatch receipt can be captured and notes added.

The final stage is for the stock to be RECEIVED at the destination location and the stock levels to be added to the destination location.
Department Transfer
The department transfer is a similar process, but with less options
Department transfers go through the following status updates :
Draft → Received
Once the ecommerce items have been added, they can be viewed here within the Ecommerce Item menu option.
Each item will have the REVIEW tag on creation and the tag selector at the top of the Ecommerce Items page along with the date range can be used to limit the results presented on the page.
Each item in the list can be ‘clicked’ into, to show further details such as the category, item, status, condition, tags and images. There is a scroll bar down the right side of the screen.
