Manage all aspects of your organisation
Your login credentials will be shown as your email address in the top right corner and your name after the welcome message.
Charities you have access to will be shown under the Your Organisations section.
If an organisation that you wish to manage is not shown then you should contact the administrator.
The left side menu can be used to view the organisations you have access to.
Once you have selected the organisation you wish to look at you can manage the details relating to that charity.
The details you can manage relate to the locations of the charity, how the charity manages its donors and donations, gift aid, logistics, point of sale and stock and inventory.
There is also administrative menus to manage the charities operations, settings and data.
You can use the left hand menu to access these or the handy links under the related pages section.
It is also from this screen that you can edit the organisations details.
Once you have edited the organisations details you can save the changes by pressing SUBMIT or undo by pressing RESET.
Through the organisation dashboard, you are able to view overviews of your Donors & Donations, Logistics, Point of Sale and Stock and Inventory.
To add dates use the << to go back one day, the calendar icon to select a date, the calendar icon with the green box to use today's date and the >> to go one day forward.
When you select the calendar icon, you can either type the date in the format suggested or again click the calendar icon to select a date from the calendar.
Through the SETTINGS option, you are able to manage all aspects relating to how your organisation is set up through the MODULE tab; Gift Aid, HMRC Gateway, Point of Sale (POS), Inventory, Logistics, Navigation,Postcode Lookup and Security.
Each of these modules can be enabled or disabled from here, and if enabled, the necessary details are captured.
Along with the general enabling of Point Of Sale (POS) for use on the tablet within the Charity Suite App, the POS tab also manages the organisations:
VAT Number,
Charity Number,
Reasons for Actions such as deposits and withdrawals,
Receipts such as online enabled or e-Receipts and the marketing URL to appear on the till receipt,
Basket Roundup at the Checkout enabled or disabled,
Credit Notes enabled and custom credit notes,
Delivery Booking via the Charity Suite App at the Checkout enabled or disabled,
Refunds at the Checkout enabled or disabled.
The Reasons for Actions, once setup, will be shown to Users when accessing the Checkout through the Charity Suite App to open the cash drawer. They must select a reason before completing their cash drawer opening task. This information will be recorded against the days till float.
If the organisation does not have the Reasons for Actions set up in the portal, the Charity Suite App will allow the actions without a reason being selected.
If the organisation does have the Reasons for Actions set up in the portal, the Charity Suite App will NOT allow the action without a reason being selected.
Along with the general enabling of Inventory for use on the tablet within the Charity Suite App, the Inventory tab also manages if organisations have bulk uploading of purchase orders enabled.
If this is enabled, the feature can also allows the location of the bulk upload to be amended at the time of upload if this is set to enabled.
During the purchase order bulk upload process, if the 'Allow to Change Location' is set to disabled and the location code in the upload file cannot be found, then an error will show stating the location cannot be found. If the flag is set to enabled and the location code in the upload file cannot be found, then the user can select a valid location from a list of availble locations held on the system.
If your organisation uses the Charity Suite's Logistics capability, it is managed here. The time ranges and number of booking slots in the day are set and if your organisation requires all items being collected to have a mandatory QRcode attached to the item, it is enabled here.
Specific reasons can also be set for your drivers to select from within the Charity Suite App, for any delivery or collection failures.
The Navigation module is used in conjunction with the Charity Suite's Logistics capability, to facilitate using map directions for collection/delivery purposes.
In order for your organisation to start using PIN management, it must be set to ENABLED via Organisation Settings → Security. All other settings relating to PIN management, for all users of Charity Suite, are managed through the security Settings page.
The EMAIL and DOCUMENT TEMPLATES tab, will show all email/document templates set up within your organisation. You can select the template to view how it will be received by your customers.
Should your organisation use external sources to sell goods, these external sales can be uploaded once this facility has been set to ENABLED. Once enabled, "Bulk upload eBay Sales Transactions" will be availble for sleection via the Sales Transaction page.
To facilitate this feature various setting sare required:-
Inventory Item for Shipping Fees - select or create a Shipping Category and Item
Default Inventory Itenm to associate with unrecognised used items - should an used item in your CSV upload file not be found in the Charity Suite database, the uploader will use the Category and Item from the settings to allow the upload process to continue.
Default Location for unrecognised used goods items - should an used goods item in your CSV upload file not be associated with a location, the uploader will use the Location from the settings to allow the upload process to continue.
Default Location for unrecognised new goods items - should an new goods item in your CSV upload file not be associated with a location, the uploader will use the Location from the settings to allow the upload process to continue.
Assign Shipping Fees to a separate location - select a Location to assign the shipping fees for each sales item in your CSV upload file.
