A Person can have various facets within the Charity Suite and can be classified as a Customer, a Donor and/or a Volunteer. Against each Person, certain information can be gathered and we can associate them with such things as Credit Accounts, Tags and Identifiers.
To find out how to create a Credit Account for a Person, have a look at the Credit Account help page.
Select Person from the menu on the left hand side of the screen. This will allow you to view the Persons data held in your organisation. There are fields available to filter your search and thus limit the data returned in the table.
There is the ability to create a new Person from within the Charity Suite Portal, or it may be that your organisation has a feed from an external data source which the Charity Suite can pull any new Person data from.
As well as gathering personal information, the following is captured:-
Contact Consent; with options Email, Mail or Phone.
Facet; with options Customer, Donor and Volunteer. A Person can have one or more facet types.
Tags; for example Asylum or Destitute to indicate the type of Person.
Identifiers; for example ASY001, DES123 which can be unique for the Person. Should you organisation use QRcode with the prefix P: as Identifiers, this can be added here and used through the Charity Suite App at the Checkout to process sales against this customer.
A Person can have more than one Tag or Identifier and are added using the PLUS buttons.
A list of Tags to be associated with this Person can be selected from the list or created using the 'Create a New Tag' button, which opens a new tab/window for you to create a tag. See Create a Tag page. Once created, upon closing the tab/window, the new tag will be available in the Tag List box to select and associate with this Person.
On viewing the Person from the table, the Person details can be edited or archived.
There are various tabs relating to the Person showing their transaction history, refunds, credit notes, credit accounts and credit account transaction history.
Should it be necessary to reactivate a Person after archiving them, this facility can be actioned via the Actions button after searching for the Person in the Person list page.
The action of reactivating a Person will be confirmed before being committed to the database. The Person will now be visible in the list tables, with their status set from ARCHIVED to ACTIVE.
